Logistics Coordinator
The Logistics Coordinator will play a vital role in supporting the effective planning and execution of logistical components for ASIGMA’s programs and projects. This position ensures timely procurement, inventory management, transportation coordination, and supplier engagement to facilitate the smooth implementation of program activities. The role demands a proactive, organized, and detail-oriented individual capable of operating in a fast-paced and field-oriented environment.
Key Responsibilities
1. Program Operations & Logistics Support
- Coordinate and support day-to-day logistics operations required for program implementation.
- Liaise with internal teams to understand logistics needs and provide timely support to field staff.
2. Vendor & Supply Chain Management
- Liaise with vendors and suppliers to procure goods and services as per project requirements.
- Negotiate favorable contracts and ensure quality standards and timely delivery are met.
- Maintain up-to-date vendor records and monitor service-level performance.
3. Inventory & Asset Management
- Track usage and manage inventory levels of program materials, equipment, and PPE.
- Develop and implement procedures for stock monitoring, replenishment, and optimization.
- Conduct regular physical audits and reconcile inventory records to maintain accuracy.
4. Transportation Management
- Arrange and coordinate transport of materials, supplies, and equipment to project sites.
- Organize and schedule staff transport to the field, ensuring efficient, cost-effective, and timely travel.
- Monitor transportation vendor performance and ensure adherence to service agreements.
- Track and manage transportation expenses, optimizing costs without compromising service quality.
5. Procurement and Branch Support
- Oversee branch-level purchase requests, ensuring timely and accurate processing.
- Work closely with the procurement office to secure competitive pricing and favorable terms.
- Maintain accurate documentation of purchase orders, deliveries, and payment status.
6. Documentation & Reporting
- Maintain detailed records of logistics operations including transportation logs, inventory levels, usage reports, and vendor invoices.
- Track consumption rates for invoiceable suppliers (e.g., hotels, car hire, fuel) and ensure proper reconciliation before payment.
- Identify areas for improvement in logistics operations and recommend solutions for efficiency and cost-saving.
Qualifications and Experience
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- A degree in Communication, Marketing, or related fields may be considered if combined with relevant logistics experience.
- 1–3 years of experience in logistics, procurement, supply chain management, or a related role.
- Previous experience in a coordinator or field-based support role is an added advantage.
- Proficiency in logistics and inventory management software, ERP systems, and Microsoft Excel.
- Strong understanding of procurement and transportation processes.
- Data analysis and reporting skills to support logistics performance reviews.
